Rolling out new software in a school is fundamentally different from deploying in a corporate environment. Here are lessons from implementing SchoolMate+ across schools that had never used digital record-keeping before.
## Start With Administration, Not the Classroom
Our approach: digitize the back office first. Student records, fee tracking, grade transcripts — the administrative spine of the school. Teachers continue teaching as they always have; the administration gets modernized behind the scenes.
This creates two critical advantages:
– Administrators see immediate value (accurate records, faster reporting)
– Teachers aren’t asked to change their workflow on day one
## Training in Phases, Not Firehoses
A single marathon training session doesn’t work. We break it into:
1. **Admin staff** — full system training before rollout
2. **Department heads** — core workflows they’ll touch daily
3. **Classroom teachers** — focused training on the specific screens they’ll use, delivered just before they need them
## Paper-to-Digital Transition
For schools coming from entirely paper-based systems, we plan a parallel run:
– Both paper and digital records are maintained for one term
– Discrepancies are identified and corrected
– The second term goes fully digital with paper as backup only
## What Success Looks Like
Six months after rollout, the schools we work with report:
– Faster report card generation (days reduced to hours)
– Fewer lost or duplicate student records
– Clearer financial tracking for fee collection
– Teachers who are actually comfortable with the system
Technology in schools succeeds when it supports the mission — education — without becoming the mission itself.
